New Password Requirements

1 upper case and lower-case letter, 1 number, 1 special character, and a minimum length of 8 with no spaces.

  • Existing (parents and single participants) users will only be required to change their password, if it doesn’t meet the new complexity requirements above. If their password already meets those requirements the system will automatically converted to the new format.
  • All other user types, will be required to change their password regardless of if the existing one meets complexity requirements. (Sales Reps, Administrators, CSRs, Coordinators)

New Username Generation Process

  • When organizations are imported a username will be generated of O-CUSTOMER_ID Only if the web username is empty. If the customer id hasn’t been imported yet but the username exists, the system will keep incrementing a -# to the username until the username is unique.

Example: if username O-1234 already exists the system will next try to assign O-1234-1 then O-1234-2 if O-1234-1 already exists.

  • The password for an organization will be automatically generated and included in the notification email sent to the organization. The user will be required to change the password upon logging in the first time.
  • The "E-mail Address" and "Import this School" box are still required.

Creating a New Salesperson, Sales Manager, or CSR

  • Similarly, when a company, salesperson, sales manager, or CSR is added, a password will be generated and sent out and the user will be required to change it upon logging in the first time.

New Administrator Storefront Process

Note: All user login passwords will no longer be able to be viewed on the Storefront as an administrator.

  • When logged in as a company you will have the ability to login with the click of a button as an organization when an organization has been selected under the organizations menu item, or as a salesperson/sales manager/csr rep when on the Salesperson/CSR menu item.
  • Credentials cannot be emailed out from user administration any longer.

New Change Password Process for Users


  • All users can select “Change Password” from the navigation menu username dropdown. There’s also a change password link in the different entity information sections.
    • The user can send out a password reset request via email that’s valid for 5 minutes. The email sent notifies the user what time the request is valid until.
